Administrative Clerk I - Site Receptionist Job Description

 

 

 

Job Summary:

The Administrative Clerk I - Site Receptionist will provide excellent customer service skills and maintain a professional attitude while handling all incoming calls, greeting and receiving clients, visitors and vendors. He/She will also assist with various other general office administrative functions which may include but not limited to: supporting and performing administrative and clerical tasks for various departments; as well as, filing, billing, accounts payable assistance, monthly report preparation and data entry. The Administrative Clerk I - Site Receptionist will ensure and maintain the common areas, place supply orders and may occasionally have to visit local vendor sites for supply pick up.

Job Description:

The Administrative Clerk I - Site Receptionist will perform all or some of the following Job description:

  • Promptly and courteously greet and receive visitors, ascertain nature of business, and direct visitor to appropriate person, area or department

  • Professionally answer and handle all incoming calls by providing excellent customer service to callers by routing calls to appropriate personnel

  • Assist visiting clients by providing excellent customer service during their visit

  • Perform a variety of general administrative and clerical functions which may consist of word processing functions to include: data entry for various departments, accounts payable, billing, monthly report preparation; as well as, may assist with the binding of final reports

  • Ensure all common areas are well maintained and adequately equipped with required supplies. Areas include: Break Rooms, Viewing Rooms and Supply Cabinets

  • Place supply orders with various vendors

  • Also, occasionally may have to visit vendor sites for supply pick up or go on errands; as necessary

  • Maintain and ensure copier and fax machines in main areas are well stocked and place repair calls; as necessary

  • Provide support by assisting in various other functions and special projects; as needed and directed

  • Perform various other duties and activities as assigned by manager within the physical constraints of the job.   

Minimum Requirements / Knowledge / Skill For Administrative Clerk I - Site Receptionist Job

  • Ability to learn and understand Company's Enterprise Excellence Program and the Quality Policy and comply with all requirements of the Quality Systems Manual, Operating and Technical Procedures and Workplace Instructions
  • Ability to learn, understand and comply with all safety rules and company policies
  • Ability to learn and comply with Company Training and requirements
  • Professional attitude with a strong customer service awareness and focus
  • 0-2 years general clerical experience
  • Excellent verbal and written communication skills
  • Proficient typing and word processing skills
  • General computer knowledge
  • Ability to work and interact with all levels of personnel
  • Prior receptionist and or customer service related experience.
