The
Event and Meeting Planner will perform
all or some of the following Job
description:
The
Event and Meeting Planner will assist
with preparing budgets and provide
periodic progress reports to management
for each event including final P&L
Keep
track of event finances including check
requests, invoicing, and reporting
Coordinate staff/team planning calls,
site visits as necessary, and scheduling
of events on the calendar
The
Event and Meeting Planner will prepare
and modify event contracts as requested
Assist
with negotiations for space contracts
and book event space, arrange food and
beverage, order supplies and audiovisual
equipment, order event signs, and ensure
appropriate décor (florals, linens,
color schemes, etc.) to meet the quality
expectations of the attendees
The
Event and Meeting Planner will conduct
research, make site visits, and find
resources to help staff make decisions
about event possibilities
Create
and revise room layouts for each event
The
Event and Meeting Planner will propose
new ideas to improve the event planning
and implementation process
Serve as
liaison with vendors on event-related
matters
The
Event and Meeting Planner will assist
with managing on-site production and
clean up for events as necessary
He/She
will manage production of name tags,
materials, notebooks, packages, gift
bags, registration lists, seating cards,
etc.
The
Event and Meeting Planner will close out
all events as required.
Minimum Requirements / Knowledge /
Skill For Event and Meeting Planner Job
The
Event and Meeting Planner should have
excellent communication skills,
including writing, proof reading skills,
and speaking
He/She
should have the ability to manage
multiple projects and work assignments
from a variety of staff and volunteers
The
Event and Meeting Planner should have
excellent
interpersonal skills both in person and
by phone, with high professionalism
He/She
should have the
ability
to accomplish projects with little
supervision
Possess
fantastic customer service ethic and
high expectations for quality
The
Event and Meeting Planner should possess
at least
3 years experience coordinating special
events
He/She
must be Proficient using the latest
versions of Microsoft Word, Excel,
PowerPoint, Access, and mail merges;
email and web searches
The
Event and Meeting Planner must be
experienced, with ability to take charge
professionally and manage administration
and logistics in support of two
directors in a busy special events
environment
He/She
must be
able to anticipate project needs,
discern work priorities, and meet
deadlines with little supervision, and
be willing to work occasional evenings
and weekends
The
Event and Meeting Planner
should
have a love for special event
management, provide outstanding customer
service, be an enthusiastic
professional, and be able to build
relationships with internal and external
customers.
Minimum Education Requirements /
Certification / Licensure For
Event and Meeting Planner Job
Bachelor’s degree preferred;
significant work experience can
substitute for the degree.
