Sales & Marketing Administrative Support Job Description

 

 

 

Job Summary:

The Sales & Marketing Administrative Support will be responsible for enabling Company sales team to shine in order to drive revenue opportunities throughout the Media Software business. He/She will have the responsibility and opportunity to make Company sales proposals and other sales supporting collateral standout within the industry – differentiating Company product, service and support from other competitive bids.

Job Description:

The Sales & Marketing Administrative Support will perform all or some of the following Job description:

  • Collaborate with sales reps (geographically dispersed and across multiple time zones) to create and update sales proposals using standard Harris templates, which include links to proposed software solution

  • Work with sales reps and internal teams to prepare RFP/RFI’s

  • Prepare bi-monthly Field Sales Reports with information collected from all sales reps for internal distribution to sales management and other sales reports as required

  • Create and Manage Central Sales SharePoint (MOSS)

  • Create and maintain standardized templates for sales PowerPoint’s and Word documents

  • Prepare Sales Control Sheets and credit checks as necessary for the sales reps

  • Act as gatekeeper for company CRM (Siebel). Update of new products in system for existing customers. Termination of products in system upon contract cancellation. When notified, put in live dates into Siebel and send out notification

  • Create, edit and prepare documents for sales teams

  • Organize/coordinate customer visits for sales - preparing agendas, making hotel reservations, catering, organizing literature and ordering promotional items as needed

  • Work with Marcom on coordination of small North America Media seminars and trade shows; sales attendees, hotel reservations, booth furniture, and prepare final costs

  • Process expense reports for VP/GM

  • Coordinate travel arrangements for VP/GM. 

Minimum Requirements / Knowledge / Skill For Sales & Marketing Administrative Support Job

  • 4-6 years experience supporting a sales operations, preferably in the software industry

  • Demonstrated results working in a fast paced, deadline driven environment and having an acute attention to detail

  • Track record of proactively identifying issues and recommending and implementing improved solutions

  • Strong computer skills including MS Office Suite (Word, Excel, PowerPoint) Outlook, Visio

  • Excellent organizational skills with ability to multi-task

  • Demonstrated team player

  • Strong interpersonal skills

  • Strong work ethics, willingness to flex schedule and put in extra hours as needed to support the deadline driven environment

  • Demonstrate superior written and verbal communication skills with end customer in mind

  • Ability to manage time effectively and prioritize tasks

  • Ability to work with all levels within an organization

  • Exceptional follow through skills

  • Direct experience working with Siebel and PeopleSoft a plus

  • Ability to make decisions when required

  • Adobe Creative Suite Proficient: Photoshop, Illustrator, InDesign, Acrobat a plus

  • High energy, self starter, drive to succeed.

Minimum Education Requirements / Certification / Licensure For Sales & Marketing Administrative Support Job

  • High School Diploma.
