Assistant Job Description
Job Summary:
The
Receptionist - Human Resources
Assistant, working under the direct
supervision of the HR Manager, will
perform a variety of front desk duties
and administrative duties.
The
Receptionist/HR Assistant will interface
with various internal/external business
partners to support HR programs and
initiatives, update records and maintain
payroll related data.
Job
Description:
The
Receptionist - Human Resources Assistant will perform
all or some of the following Job
description:
Greet all
visitors in a courteous fashion and
maintain visitor log and determines the
status of the visitor (US Person vs Non
US Person) in conjunction with ITAR
policies and procedures
Answer
all incoming calls and accommodates
Customer needs by connecting/referring
to the appropriate party
Make and
provide Company badges for all employees
and visitors
Perform
general administrative duties, including
filing, ordering office supplies,
faxing, internet orders, processing
invoices and distributing department
mail
Assist
with collection of temporary employee,
intern and consultant time cards.
Communicate on a weekly basis to
agencies regarding their time cards and
payroll
Assist
with Employment application process by
reviewing applications and pre-hire
paperwork prior to interviews,
conducting background checks, updating
Affirmative Action Plan (AAP) logs
Assemble
employee handbooks, benefits orientation
forms, and new hire paperwork
Maintain
the Company telephone directory, and IT
contact (outlook information) update
Write and
send general HR correspondence such as:
interview confirmations, post interview
letters, etc.
Order
flowers for specific employee and
company events, such as but not limited
to, funerals, celebrations, illness,
etc.
Coordinate food delivery trucks, for
break schedule, plant shutdown, holidays
etc.
Assist
with scheduling conference rooms
Wellness
Boards, updated monthly
Support
the HR team in the review and addressing
of existing HR processes, procedures,
policies and task and assist in the
development and maintaining of
standardized more lean procedures and
controls for all related activities
Participate in one LEAN focused
continuous improvement initiative each
year
Maintain
a 5S workspace on a daily basis
Perform
other duties as needed and assigned.

Minimum Education Requirements /
Certification / Licensure For
Receptionist - Human Resources Assistant Job
Bachelor's degree (BA/BS) from
four-year college or university. Or
in pursuit of advanced degree and/or
PHR or SPHR certification would be a
significant competitive advantage.
