Administrative Clerk Job Description

 

 

 

Job Summary:

The Administrative Clerk will perform a variety of clerical and administrative functions that enable the distribution of products and/or services for customers and all executive staff members.

Job Description:

The Administrative Clerk will perform all or some of the following Job description:

  • Answer telephone and give information to callers and take messages when needed

  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate personnel according to their needs

  • Set up and maintain paper and electronic filing systems for records and other materials as needed

  • Give out purchase orders and sales orders

  • Perform appropriate recording procedures for incoming and outgoing product

  • Perform data entry

  • Conduct searches to find needed information, using such sources as the Internet

  • Perform general house cleaning duties in the front office and conference room as needed

  • Operate electronic mail systems and coordinate the flow of information internally and with other organizations

  • Order and dispense supplies

  • Provide assistance to customers, such as order placement and account information

  • Support other clerical staff, and provide training and orientation to new staff

  • Operate office equipment such as computers, fax machines, copiers, and phone systems

  • Perform other duties as assigned.

  • Effective organizational skills
  • Ability to learn in a changing environment
  • Excellent time management skills
  • Ability to maintain a high level of accuracy when preparing and entering information
  • Ability to work in a fast-pace environment
  • Ability to work with minimal supervision
  • 1-2 years minimal experience in a front office setting
  • Proficient computer skills in Excel, Word, Outlook
  • Ability to type 45 wpm, 10-Key by touch
  • Bilingual in Spanish and English: Read, Write and Speak.
