Example: Clerical Assistant Job Description

Job Summary:

The Clerical Assistant will ensure that accurate/proper acquisition and disposal policies and procedures are executed and maintained regarding fixed assets, along with accurate maintenance of records.

Job Description:

  • The Clerical Assistant will utilize multiple computer systems, will enter information describing purchases into a computer database to initiate, update, transfer, and delete fixed asset records and to generate records for tracking assets
  • He/She will coordinate, prepare, execute, schedule, and maintain activities, paperwork, and transactions for all auctions and sealed bids/quotes for Company Inventory
  • As part of the front reception team the Clerical Assistant will greet and direct visitors; and receive, screen, and transfer incoming calls
  • The Clerical Assistant will route mail, answer phones, route callers and take messages
  • Fill copy machines with paper, may complete daily reports on excel
  • He/She will perform duties associated with the central mail area
  • He/She will ensure that all customers (internal and external) are being served
  • Clerical Assistant will provide training sessions on Fixed Assets
  • He/She will assist with Company Inventory auctions, open houses and audits
  • He/She will adhere to the company's procedures and security protocol for confidential customer information.

Minimum Requirements / Knowledge / Skill For Clerical Assistant Job

  • The Clerical Assistant should have customer service experience
  • He/She should have PC-based word processing, spreadsheet and database software program skills
  • He/She should have working knowledge of SAP or other large integrated financial management system
  • Excellent written and oral communication skills, including courteousness, positive attitude and sincerity
  • The Clerical Assistant should have the ability to multi-task and work independently
  • Pre-Placement Driving Record Review Required.
  • Attention to detail, accuracy, and problem solving skill
  • He/She should be a team player
  • The Clerical Assistant should possess knowledge and understanding of the use of systems applicable to job responsibilities, including scanning, preparing letters, and proprietary software programs
  •  He/She should possess strong communication skills, both orally and in writing (e-mail) with employees.

Minimum Educational Requirements / Certification / Licensure For Clerical Assistant Job

  • High school or equivalent experience plus four years clerical/administrative experience that includes data entry and accounting; equivalent education/experience considered
  • Associate's in business, accounting or other relevant field.

Job Summary:

The Clerical Associate will perform a variety of clerical duties where the work requires a knowledge of basic departmental functions associated with the job responsibilities, and the ability to exercise discretion and judgment within the framework of established procedures.

Job Description

The Clerical Associate will perform all or some of the following Job description:

  • The Clerical Associate will ensure customer service and clerical activities are conducted in accordance with ISO 9001, while working to provide efficient service to customers, both internal and external.

  • He/She will answer phone, take messages, perform basic data entry and perform other basic office support functions

  • The Clerical Associate should be able to work long hours on feet

  • He/She should be able to lift and carry up to 50 pounds

  • He/She should have 2 years experience in fast paced robust work environment

  • The Clerical Associate should have knowledge of Microsoft windows, word excel, project, power point, visio and access

  • He/She should possess excellent written and oral communication skills

  • Strong organizational and time management skills needed to maintain daily work and special projects

  • The Clerical Associate should have good knowledge of typical applications software used: Basic use of word processing and spreadsheet

  • He/She should possess valid drivers license.
