Executive Administrative Assistant Job Description

 

 

 

 

Job Summary:

The Executive Administrative Assistant will be responsible for the development and delivery of comprehensive communications strategies and project-specific reputation plans in support of Company business efforts in the Corporate Communications (CX) organization through effective identification/management of non-technical risks and key stakeholder relationships that may positively or negatively impact reputation, access to resources and business growth.

Job Description:

The Executive Administrative Assistant will perform all or some of the following Job description:

  • Deliver top quality organizational, administrative and office management services. Work within a highly dynamic and global working environment, with multiple parts of the CX organization

  • Work as part of admin team responsible for meeting the needs of the CX staff

  • Maximize efficiency by using judgment to manage the flow of work for the CX Americas and other CX Leaders as required. This includes, but is not limited to managing the calendar effectively, providing pro-active support, using judgment to track actions, track deadlines and manage document reviews. Use judgment to redirect action items/queries without referral

  • Provide assistance for all general administration matters (i.e. travel, meeting requests, expense management system, order office supplies, internal job postings, liaison for IT equipment/matters, booking conference rooms and travel arrangements (within Shell policy), and updating address/distribution lists.)

  • Organize and assist with department meetings, conferences and events

  • Assist with presentations and other documents by liaising with others in the collection and preparation of information

  • Prepare agendas and arrange teleconferences and/or video-conferences for management and other meetings

  • Perform other job related duties as assigned.

Minimum Requirements / Knowledge / Skill For Executive Administrative Assistant Job

  • Seven (7) years experience managing operations
  • Excellent communication skills
  • Ability to plan, set priorities, and multi-task
  • Self-starter proactive, and flexible
  • Strong PC skills, including proficiency in Outlook, Word and PowerPoint and Excel
  • Experience making Complex Global Travel Arrangements preferred.

Minimum Education Requirements / Certification / Licensure For Executive Administrative Assistant Job

  • College level coursework in communications, journalism, marketing or business related (HR) field preferred.
