Job Summary:
The
Administrative Assistant will be responsible for
performing all administrative tasks in
the branch office to support business
operations in the area of general
administration, accounts receivables,
accounts payable and customer service.
Job
Description:
The
Administrative Assistant will perform
all or some of the following Job
description:
-
Read
and route incoming mail. Locate and
attach appropriate file to
correspondence to be answered by
employer
-
Prepare outgoing mail and
correspondence, including e-mail,
faxes, billing
-
Compose and type routine
correspondence, proposals, or any
other needed document
-
Organize and maintain file systems,
file correspondence, and other
records
-
Coordinate manager's schedule, make
appointments, arrange and coordinate
travel schedules and reservations,
where needed
-
Ensure proper system entry for
documenting accounts receivable and
accounts payable information
-
Review information from Area
Managers to ensure correct customer
information and job detail is
accurate in the system
-
Greet
scheduled visitors and conduct to
appropriate area or person
-
Make
copies of correspondence or other
printed materials for upcoming
meetings, employee trainings, or
reports for management
-
Perform data entry for accounts
payable, payroll processing and
maintaining company databases (Lynx,
etc)
-
Perform collection activities
including posting receivables,
contacting customers and generating
reports for outstanding billables
-
Answer calls from customers related
to service needs or problems and
enter the information into a
customer management system and/or
effectively resolve the issue or
route to the appropriate party
-
Work
closely with area managers to ensure
proper servicing of customer
properties, accurate billing, time
sheet review and entry.

Experience and/or training; or
equivalent combination of education
and experience

Ability to read and comprehend

correspondence, and memos

correspondence

Ability to effectively present
information in one-on-one and small

clients, and other employees of the
organization

Ability to add, subtract, multiply,
