Administrative Assistant Client Development Job Description

 

 

 

 

Job Summary:

The Administrative Assistant Client Development will be responsible for providing client and account management support to the Client Development Group to increase overall efficiency and effectiveness of account management and business development activities. He/She will also be responsible for general administrative support of the team.

Job Description:

The Administrative Assistant Client Development will perform all or some of the following Job description:

  • Support the Account Directors (AD) and Business Developers (BD) within the Client Development Group (CDG) to manage their portfolios efficiently and effectively

  • Understand client management items such as the Master Services Agreement /Terms & Conditions documents and how to assist the ADs in keeping up to date on renewals

  • Verify compliance, using already agreed upon security/privacy/confidentiality provisions

  • Prompt ADs/BDs when agreements are due to expire or updates are needed (e.g., billing rate schedules)

  • Support the process of new and renewing MSAs /Terms & Conditions

  • Maintain Client Information System - Ensure that information entered into Sales and Client Information tools is accurate/complete and entered in a timely manner while keeping CIS information up to date and accurate

  • Assist with traditional day-to-day administrative duties including:              - Drafting correspondence
    - Typing, proofreading and editing documents
    - Preparing client presentations
    - Entering weekly time and monthly expense reports
    - Preparing monthly client invoices
    - Maintaining calendar and scheduling meetings
    - Making travel arrangements and preparing travel itineraries
    - Filing, faxing, copying, handling incoming mail
    - Answering telephones and responding to routine client requests

  •  Support Account Team

  • Schedule and arrange logistics

  • Prepare meeting agendas and materials

  • Take meeting minutes and follow up with action items

  • Ensure Information is easily and effectively distributed

  • Maintain distribution lists

  • Ensure timely sharing of information

  • Inform team of upcoming milestones

  • Assist with client data requests (e.g., business continuity plans, IT requirements, etc.)

  • Communicate to AD/BD and team about upcoming client mailings

  • Perform statement of Work (SOW) management

  • Assist client team with creation of SOWs, ensuring appropriate language and/or templates are used

  • Coordinate with appropriate parties (Legal and/or others) to ensure smooth/timely flow of information

  • Ensure AD/BD is updated on current client projects

  • Act as liaison with Billing Specialists/Finance.

Minimum Requirements / Knowledge / Skill For Administrative Assistant Client Development Job

  • Ability to work well with colleagues at all levels

  • Ability to interface with clients effectively

  • Strong sense of professionalism and maturity

  • Outstanding technical skill in MS Office (Word, PowerPoint, and Excel) and Internet Explorer

  • Demonstrated expertise with PowerPoint charts and graphs

  • Ability to produce consistently high-quality results under tight deadlines

  • Excellent organizational skills, accuracy, and attention to detail

  • Resourceful, proactive self-starter with the ability to think ahead

  • Ability to multi-task and work independently, as well as part of a team

  • Excellent verbal and written communication skills

  • Creative problem solver

  • Solid research and project management skills

  • Prior administrative assistance experience.
