internal/external mail as requested

and scheduling requirements

The
Administrative Assistant will manage
new-hire on-boarding activities,
continually updating e-mail distribution
and contact lists to reflect new or
departing employees

He/She will ensure that all Company and task information and
announcements are displayed

He/She will maintain
Outlook calendars for the program
manager

Maintain the deployment
calendar on a daily basis for viewing
and reference by team members

The
Administrative Assistant
will compile, compose and coordinate
company correspondence/material; gather,
compile and maintain data; and complete
monthly expense reports, assist with
presentations and presentation
materials; serve as coordinator for
special projects and special events
planning as needed.

The
Administrative Assistant will
effectively utilize Company Corporate
Travel to make all travel arrangements
for team members (including, but not
limited to, airline, hotel, and rental
car reservations) and monitoring travel
budgets
-
He/She will prepare travel plans and
expense reports in the Company system,
routing them for approvals, and submit
them to Company Corporate Travel or
Accounts Payable for processing

The
Administrative Assistant will
coordinate monthly task team status
meetings; and provide direct program
task support, as needed

He/She will maintain file
plans on SharePoint; monitor employee
training and compliance
-
Coordinate
meetings/conferences and catering
-
The
Administrative Assistant will process incoming/outgoing courier, fax
and US Mail
-
He/She will perform accurate property
accountability inventory; and capture
meeting minutes
-
The
Administrative Assistant will ensure
efficient and professional operation of
office; exercise discretion and
diplomacy at all times and make
administrative decisions on behalf of
the Directors
-
The
Administrative Assistant will act as a
problem identification and resolution
resource for the team; coordinate and
engage proactively with leadership in
planning and organizing events,
activities, and calendars; coordinate
travel arrangements, meeting/conference
arrangements, and appointments as
needed

The
Administrative Assistant will act as
integral part of executive assistant
team, ready to step in and assist other
groups without hesitation as necessary
-
He/She
will perform other administrative duties
as needed.

The
Administrative Assistant must be
able to work independently with
little or no direction

He/She should possess good oral and
written communication skills

He/She must be an organized

also be able to check written
documents for grammatical and
numerical accuracy and be fluent in
Microsoft Office (including Outlook,
PowerPoint, Word, Excel, and Must be
familiar with Microsoft Outlook,
SharePoint and the calendar
processing. PeopleSoft preferred

The
Administrative Assistant should have 4+ years
of related experience.
